Billing¶
ChillCheck is billed per site at £25 per site per month. There are no separate user fees, cabinet limits, or feature tiers — every site gets the full platform including email alerts, compliance exports, and the complete audit trail.

SMS and voice credits are included in your subscription — most sites never use their full monthly allowance. If you exceed the included credits, overage is charged at £0.07/SMS and £0.07/min. Alerts are never blocked regardless of usage — a missed critical alert is far worse than an unexpected overage charge.

Every new account comes with a 30-day money-back guarantee. If ChillCheck isn't right for your business within the first 30 days, email hello@chillcheck.online and we'll refund your first payment in full — no questions asked.
Getting started¶
You must be the organisation owner to manage billing. Admins and members can't access the checkout flow.
- Sign in to app.chillcheck.online as the owner.
- Go to Settings → Billing.
- Click Activate subscription.
- You'll be redirected to Stripe-hosted checkout. Enter a payment method — UK Visa, Mastercard, Amex, and debit cards all work. The page shows:
- £25.00 / month per site (quantity matches your active site count)
- SMS and voice overage (only if you exceed your included monthly credits — most sites never do)
- Complete the payment. You'll be returned to Settings → Billing with a confirmation banner.
Within a few seconds SMS and voice alert channels unlock in Settings → Contacts.
3D Secure cards
Some UK cards require an extra authentication step during checkout (a popup from your bank, or an SMS code). This is normal and Stripe handles it automatically.
Managing your subscription¶
From Settings → Billing, the Open billing portal button launches the Stripe-hosted customer portal. From there you can:
- Update your payment method — add or replace cards, change the default
- View invoice history — Stripe stores every invoice with PDF download
- Update billing details — company name, VAT number, billing address
- Cancel the subscription — see below
The portal is owned by Stripe. The "Return to ChillCheck" link at the top brings you back to Settings → Billing.
Invoices¶
Stripe generates an invoice at the end of each monthly billing period, automatically charges your saved payment method, and emails you a receipt with a PDF attached.
To view past invoices from inside ChillCheck:
- Settings → Billing
- Scroll to the Invoices card
- Each row shows the date, invoice number, status (paid / open / void), and amount
- Click View to open the Stripe-hosted invoice page — download the PDF or print from there
The card shows your last 12 invoices. For older history use the billing portal, which keeps your full history.
Cancelling¶
To cancel your subscription:
- Settings → Billing → Open billing portal
- Click Cancel subscription in the Stripe portal
- Confirm
Cancellation takes effect at the end of the current billing period — your sites stay fully active until then. You can reinstate at any time before that date from the same portal.
When a cancellation is scheduled, Settings → Billing shows an amber banner:
Subscription ends 18 June 2026. Your sites stay active until then. Want to continue? [Renew via portal]
What happens to my data after cancellation¶
Your data is preserved for 3 years from the date each reading was recorded — this window is not affected by cancellation. Temperature readings, alerts, audit logs, and compliance records all remain in place.
If you want your account and all associated data permanently deleted, email hello@chillcheck.online. After deletion, data is unrecoverable and we're unable to provide compliance records for past periods.
Payment failures¶
If Stripe can't charge your payment method, the subscription enters a past due state. Settings → Billing shows a red banner:
Payment failed. Stripe is retrying. Update your payment method in the billing portal before the subscription cancels.
Stripe automatically retries failed payments over the following days. If retries continue to fail, the subscription cancels and sites become read-only. To avoid losing access, click Open billing portal as soon as you see the banner and update your card.
You don't lose access during the dunning period. Sites remain fully active while Stripe is retrying — alerts keep flowing.
VAT and receipts¶
Invoices are issued by ChillCheck Ltd. UK VAT is included where applicable based on your billing address. Stripe handles VAT calculation automatically; your invoice shows the breakdown.
To add a VAT number (for VAT-registered businesses claiming back input tax), enter it in the billing portal under Billing details → Tax ID. Subsequent invoices will include the number.
Frequently asked billing questions¶
Can I add a second site later? : Yes. Each additional site is billed at £25/month. Go to Settings → Sites to add a new site — the subscription quantity updates automatically and appears on your next invoice. Each additional site also adds 100 SMS credits and 20 voice minutes to your monthly pool.
Are there per-user charges? : No. There are no user limits or per-user fees on any paid plan — invite as many team members as you need.
Can I be billed annually instead of monthly? : Not yet — monthly is the only billing cycle. Annual billing with a discount is on the roadmap; email us if it's a deciding factor for your business.

Who can see billing details inside our organisation? : Only owners can open the Stripe portal or view the Invoices card. Admins and members see the subscription status but not payment details.
